Your project

A team organised around demonstrations and meetings.

IBC brings together media, entertainment and technology professionals. A booth running demonstrations, booked meetings and walk-in visits needs a clear distinction between reception, scheduling and technical answers. Wira builds a staffing proposal around those tasks, languages and hours.

Initial reception can establish why a visitor has arrived and direct them to the right person. Product explanations require an approved script; specifications, integrations and questions beyond it go to the exhibitor’s specialist. Language fluency alone does not establish technical competence.

Venue and planning

Dates and venue confirmed by IBC.

01

10–13 September 2027

IBC announces its 2027 edition at RAI Amsterdam. Check your hall and booth number in the exhibitor documentation.

02

Exhibition opening hours

10 September: 10:30–18:00. 11 and 12 September: 09:30–18:00. 13 September: 09:30–16:00, as published on the official IBC 2027 page.

03

Team shifts

Visitor opening hours do not define a staff shift. Briefing, early access, breaks, handovers and closing tasks are scoped separately for the assignment.

04

Access and equipment

The exhibitor confirms passes, entry permissions, device owners and venue requirements. A staffing proposal does not automatically include booth construction or access passes.

Team roles

Six responsibilities to keep distinct.

01

Reception and routing

Welcome visitors, establish their area of interest and direct them to the right space or colleague without interrupting an active demonstration.

02

Meeting schedules

Check bookings against the approved list, notify the sales contact, escort visitors to meeting areas and escalate changes or clashes.

03

Demonstration support

Manage waiting turns and explain the approved visitor journey. Equipment operation and technical answers stay with the agreed qualified roles and permissions.

04

Language support

Specify languages and proficiency for reception, meetings or professional interpreting. These are distinct roles, subject to confirmed availability.

05

Contact registration

Use only the exhibitor’s authorised system and fields, following its instructions on visitor information and how to handle requests.

06

Coordination and handovers

Name an incident contact, allocate posts and hand over pending meetings and devices without sharing personal credentials.

Briefing

What we need to prepare your team.

01

Booth and programme

Hall, booth, demonstration timetable, expected meeting lengths and anticipated visitor peaks.

02

Tasks and boundaries

Script, approved messages, contacts for technical questions and excluded tasks for each role.

03

Languages and resources

Languages by role, clothing, devices, registration tools and the people responsible for configuration.

04

Agreed operation

Access, arrival, briefing, shifts, breaks, handovers, closing tasks and an exhibitor contact authorised to make decisions.

FAQ

Questions before booking.

01

When and where is IBC 2027?

10–13 September 2027 at RAI Amsterdam, according to the organiser. Hall and booth assignments should be checked in the exhibitor documentation.

02

Can staff deliver technical demonstrations?

They can support a demonstration when the script, training and authorised tasks are defined. Specialist operation or technical answers need the appropriate role and are not assumed to be included.

03

Can we request several languages?

Yes. Specify the languages and proficiency needed for each task. Proposals depend on the briefing and profile availability; bilingual reception and professional interpreting are different services.

04

Do you provide the contact registration system?

Not automatically. We agree whether the exhibitor supplies the tool, devices and permissions, who configures them and what support staff should provide.

05

Will one team cover every day and evening events?

Coverage is designed around hours, breaks and availability. Dinners or receptions away from the booth are scoped as additional assignments; the same staffing level is not assumed.

06

What should we send for a proposal?

Dates, booth location, tasks, languages, demonstration and meeting programme, working hours and planned resources. These details establish the scope of the proposal.
