Bar coordination for IBC 2027

Plan hospitality at your IBC booth: coordinate drinks, the service point and team with the authorised supplier and RAI Amsterdam’s conditions before confirming delivery.

Coordinate my IBC bar

Start with the authorised supplier and scope.

RAI Amsterdam advertises exclusive in-house catering. The public IBC manual consulted, updated in July 2026, directs food and drink orders through RAI. This is the starting point: we do not offer to bring drinks or an external bar into the venue without authorisation. The documentation and process for the IBC 2027 edition must be confirmed.

Wira can assess planning and coordination of your hospitality point: connect the meeting and demo programme with hours, space, authorised orders and owners. Supply, preparation and service staff are allocated to the supplier and roles accepted by the venue. Requesting coordination does not confirm permission, availability or a booking with RAI.

Four decisions before ordering drinks.

01

Venue process

Identify the ordering channel and the exhibitor contact who manages it. Share the authorised supplier’s confirmation and edition conditions before agreeing a menu, equipment or staff.

02

Programme and service point

Connect arrivals, meetings and demo breaks with hospitality hours. Decide where drinks are handed over while maintaining reception and access to demonstration equipment.

03

Resources and ownership

List the counter, equipment, products, consumables, power and preparation. Distinguish items confirmed by RAI, exhibitor items permitted by the venue and coordination requested from Wira.

04

Changes and approval

Name the person approving changes in quantities, products, hours or cost. Reception staff do not replace the contract owner or decide exceptions to venue procedures.

An operation that supports meetings.

01

Orders and deliveries

Consolidate requirements by day, order reference and confirmed delivery point. Reception records deliveries and escalates shortages to the owner without promising immediate replenishment.

02

Service roles

Define each role’s tasks and what remains with the catering supplier. Reception support does not imply preparing drinks, operating equipment or providing technical ingredient information.

03

Replenishment and materials

Agree quantities, consumables, location and the replenishment owner. One shared list helps prevent several contacts placing duplicate orders without approval.

04

Closing and review

Agree collection, returns, leftovers and equipment with the responsible supplier. Coordination can collect incidents and outstanding orders; it does not guarantee refunds for unused products.

A useful IBC hospitality brief.

01

Booth and contacts

Hall, booth, exhibitor and the confirmed RAI or supplier contact. Attach the edition documentation and existing orders.

02

Hours and audience

Days, service windows, meetings, expected guests and demonstration breaks. Visitor hours do not automatically define the hospitality shift.

03

Authorised menu and resources

Drink selection, non-alcoholic options, equipment, consumables and confirmed conditions. Ingredient or allergen enquiries go to the responsible supplier.

04

Coordination scope

Wira, exhibitor and supplier tasks, with approvals, incident communication, closing arrangements and separate budgets.

FAQ

01

Can Wira bring external drinks or catering into RAI?

We do not assume this is permitted. RAI publishes exclusive in-house catering arrangements and the IBC manual consulted directs food and drink orders through RAI. Applicable IBC 2027 documentation is confirmed before proposing supply or staff.

02

What can we request from Wira for the bar?

You can propose planning and coordination with the authorised supplier: programme, posts, order communication, deliveries and closing tasks. Contractable resources and duties are confirmed after reviewing venue conditions.

03

Are bartenders or baristas included?

Not automatically. We must confirm who may perform each role, what the authorised supplier provides and which profiles the venue accepts. The proposal identifies tasks, equipment and owners rather than guaranteeing permission for external staff.

04

Can we request coffee and non-alcoholic options?

Include those preferences in the brief for comparison with the authorised supplier’s offer and conditions. Menu, equipment, quantities and service are confirmed before booking.

05

Can staff answer allergen questions?

Information must come from the supplier responsible for the product and service. Support staff refer the enquiry to that person; they do not improvise answers or replace supplier information and instructions.

06

Does coordination guarantee availability or permissions?

No. Availability, orders, permissions and venue services require the relevant confirmations. Wira defines its coordination scope in the proposal and does not promise authorisation, a universal quantity or commercial results.
