Stand design for IBC 2027

Stand design and production for IBC at RAI Amsterdam: reception, media demonstrations and meetings, with deliverables, installations and responsibilities defined in your proposal.

Plan my IBC stand

A space for demonstrations, conversations and work.

An audiovisual demo can create a waiting group near the aisle while the sales team holds meetings. Stand design should organise those simultaneous activities: arrival and reception, demonstration stations, commercial conversations and supporting materials. At IBC, the starting point is the exhibitor’s actual programme, rather than choosing a screen count before understanding it.

Wira can propose design, production, build and dismantle, or a defined part of the project. Dimensions, location, devices and exhibitor documentation determine what the layout needs to solve. The quotation identifies who supplies, installs, operates and removes each element. A visualisation is not proof of technical approval or permission from the show.

Plan around the demonstration.

01

Reception and waiting

Decide where visitors are identified, how a group waits and who routes them to a demo or meeting. Distinguish walk-ins from booked buyers so they do not compete for one entrance.

02

Equipment and operation

List the screens, cameras, editing stations or devices that will actually be shown. Record the operator, use, dimensions, connections and requirements supplied by the equipment owner; technical operation is not assumed to be included.

03

Meetings and listening

Define simultaneous meeting positions, open conversations or private meetings and their relationship to sound and demonstrations. Assess location and resources against the layout and event conditions without promising sound isolation.

04

Materials and internal movement

Locate samples, brochures, devices and requested storage. Plan the team’s movement during replenishment and handovers rather than relying on leaving materials in the visitor route.

Deliverables and responsibilities.

01

Layout and visualisation

Agree layouts, views or renders, revisions and the approving person. Confirm dimensions and open sides against exhibitor documentation before production.

02

Graphics and content

Connect every display surface to its dimensions and approved brand files. Separate printed graphics, presentation video and demo content, assigning different approvers where needed.

03

Installations and integration

Define lighting, screens, sound, power and connections in a requirements list. The proposal distinguishes exhibitor equipment, rental, venue services and the owner of each booking.

04

Build, handover and removal

Align deliveries, access, build, testing and removal with the confirmed IBC and RAI schedule. Agree owners and handover criteria instead of importing hours or permissions from another show.

A useful stand design brief.

01

Confirmed location

Hall, booth, area, open sides, floor plan and documentation for the edition. Share known restrictions and the exhibitor contact.

02

Demos and meetings

Equipment, programme, duration and expected overlap, operators and resources for an alternative if a demo cannot run.

03

Brand and available materials

Brand guidelines, files, reusable parts and their condition, booked suppliers, approval deadlines and the decision-maker.

04

Requested scope

Design only, production, build or a combined service. List staffing, bar, catering or presenters separately if they need to be coordinated with the layout.

FAQ

01

When and where is IBC 2027?

The organiser announces IBC for 10–13 September 2027 at RAI Amsterdam. Build, testing and dismantling schedules must be confirmed in exhibitor documentation rather than inferred from visitor dates.

02

Does design include audiovisual equipment and operation?

Only when these are agreed items. Identify exhibitor equipment, rentals, the installer and the operator. Designing a space for a demo does not automatically include its content or a technical specialist.

03

Can you build a design we already have?

This can be assessed using drawings, dimensions, materials, the condition of parts and edition requirements. The proposal defines reviews, additional production, logistics and owners before confirming build work.

04

Who submits drawings and orders venue services?

The proposal should identify who prepares and submits each document and who books installations or services. Approval follows the show and venue process; a render is not assumed to be sufficient.

05

Can we combine the stand, staff and bar service?

You can request those items, connecting posts, service area, resources, hours and owners. Bar equipment, drinks, staff and technical services are expressly scoped; they are not included simply by ordering design.

06

Can we reuse the stand later?

This depends on materials, dimensions, condition and the next location. Packing, transport, storage, repair and adaptation are quoted when requested; savings or an owned warehouse are not promised.
