Concept, programme and budget
Define the objective, guests and key moments: arrival, speeches, demos, food and closing. Scope is organised by line item, priorities and approval owners; changes are assessed before confirmation.
Venue and suppliers
Request sourcing and coordination of a hotel, room or other event space. Selection considers capacity, access, setup and service conditions. Availability, booking and costs must be confirmed; a venue is not assumed to be reserved.
Reception, staff and hospitality
Guest lists, welcome, languages, guiding and drinks service are assigned by role and period. Catering and bar service have their own suppliers and resources; inside MWC, the applicable external-provider approval process must be reviewed.
Production, content and entertainment
Script, audiovisuals, MC and performances connect to the running order. Identify who supplies sound, screens, materials and operators and which files, messages and formats need approval before rehearsal.
Each location needs its own operation.
Booth and private event
A meeting or activation at the booth follows exhibitor conditions. An off-site dinner or reception has its own venue and programme. Distinguish teams, materials and schedules for the two locations.
Guests and confirmations
Agree how the list is managed, who confirms attendance and who can amend it. Share only necessary data with authorised owners and define photography arrangements with your team.
Running order and decisions
A shared schedule identifies owners, deliveries, checks, opening, interventions and closing. Agree a communication channel and escalation process so suppliers do not receive conflicting instructions.
Alternatives and closing
Prepare approved options for agenda changes, delays or space adjustments. Closing covers outstanding deliveries, removal, returns and costs subject to acceptance; commercial results are not promised.

Are you the official organiser of Mobile World Congress?
No. GSMA organises MWC Barcelona. Wira is an independent agency that can organise your brand event during the congress. Booking these services does not imply sponsorship, accreditation or access to the official programme.
Can we book coordination or selected services only?
Yes. Share existing bookings and missing services. Responsibilities, contacts and coordination boundaries are agreed to integrate your suppliers without duplicating line items.
Do you plan client dinners and partner events outside Fira?
You can request these formats in Barcelona. Venue, guests, programme and suppliers are assessed for the date; availability and conditions must be confirmed before booking.
Can you include catering and bar service inside MWC?
These can be assessed within the scope. MWC’s official information asks exhibitors to consult the approval process for external providers in advance. Supplier, location and conditions need an identified approval owner; permission is not assumed.
How does this differ from product launch planning?
Event planning connects the venue, guests, suppliers and programme. A launch adds a specific announcement, approved messages, demo, specialists, rehearsal and sales-team handover. Both can be requested with clearly assigned responsibilities.
